Fleet Guide 4/7 — The Cars List and Their Statuses

Know your fleet at a glance: how many cars are available, rented and in maintenance, and your utilization rate — with search, filters and a status badge per car, plus full-fleet Excel export and import.

What you will learn

Open the cars list

From “Cars → List” all your cars appear. On top, a strip of cards summarises your fleet:

  • All cars · Available · Rented · Maintenance · Locked, with a “Sold” counter beside them.
  • Utilization rate with a coloured bar (green available · blue rented · orange maintenance) — how much of your fleet is actually working.

Click any card to filter the list to that status only.

Each car's status badge

The system computes the car's status automatically in the “Status” column:

  • Available — no active contract and no maintenance.
  • Rented — has an active contract now.
  • Maintenance — has an open maintenance request (takes priority over “rented” when both apply).
  • Sold (an extra badge on sold cars) · Locked (temporarily withdrawn from renting).

Search, filter and Excel

  • Search: by plate, make, model or VIN.
  • Filters: branch and date range.
  • “Import”: enter a whole fleet at once from an Excel file (handy when migrating from another system).
  • “Export”: download your fleet to Excel.

Important on import: always use the template produced by the “Export” button, and cars match by plate letters + numbers. Importing over an existing fleet can modify existing cars — export a backup first.

Common mistakes

  • Confusing “locked” and “sold”: locked is a temporary hold that returns; sold has left the fleet.
  • A chronically low utilization rate: idle cars earning nothing — review their pricing or location.
